Request Evaluation Setup

Introduction

Departments who don't have administrative staff available, or simply want to make using the Annual Profile system easier for annual review, can now request the complete set up of activity and evaluation forms by the Annual Profile Support Team. 

Things you need to know:

  • We require two (2) weeks notice prior to the start of your department's annual review process, in order to give us lead time to create the evaluations and receive final authorization and approvals.
  • You or a designee will be responsible for all department and faculty communications, including notifications, deadlines, and any evaluation types outside of the options listed here.
  • Please be aware that prior to activating the evaluations for use, we will communicate with the Department Head and College Coordinator for final authorization and approvals.

What you will need:

  • Names of faculty to be evaluated
  • Names of the Peer Review Committee members
  • Name of the Committee Chair (and Co-Chair if there is one.)
  • Start and End dates for the review season.
    • This includes the time faculty will need to review and update their activities, 
    • The time needed by the Peer Review Committee to perform their evaluation,
    • The time needed by the Department Head to perform their evaluation
    • The time needed for faculty to respond to the Department Head's evaluation.

Types of Evaluations:

The activity form gives faculty an opportunity to update their activities that will be under review. They are presented with a list of their activities that start and end within the review dates. They can then review, update, and submit those activities.  Additionally, faculty can see their information exactly the way the reviewer will, by using the "Preview CV" button.

In an Annual Profile collaborative-editing evaluation, all members of the committee will be able to see and evaluate the department's list of faculty under review. Each committee member will be able to add their own comments and ratings for each faculty member.

For this type of evaluation, only one committee member will be able to submit to the Annual Profile system the final comments and ratings. This responsibility typically falls to the Committee Chair.

In a one editor type of evaluation, the Peer Review Committee members will be able to see each faculty's activities that are under review, but the committee members will not be able to add and save their individual comments and ratings inside the system.  

Typically, the Committee Chair (or Co-Chair if one is designated) will submit to the Annual Profile system the committee's final comments and ratings.

The Faculty self-evaluation also known as a "self-reflection" allows the faculty member to identify individual strengths and competencies, and serves as a basis for professional development.

The self-evaluation will be available for review for both the Peer Review Committee and Department Head, during their evaluation times.

The Department Head evaluation usually completes the annual review process and includes the final step of reviewing and answering faculty responses.

In this evaluation the Department Head will be able to:

  • View the complete list of the department's faculty under review, along with the faculty's submitted activities for the review period,
  • Save and submit their own comments and ratings to the UA Vitae system,
  • See the Peer Review Committee's final comments and ratings of each faculty member,
  • Allow faculty to see the Department Head's comments, ratings, and additional feedback,
  • Allow faculty to respond to the Department Head's final review.
